Before & After School Program – Summer Adventures Camp Administrative Assistant

 

Purpose Statement

The position of Before & After School Program – Summer Adventures Administrative Assistant is to provide a professional and welcoming atmosphere for program parents and customers while ensuring a safe and secure check-in and check-out process for students and visitors in the Before & After School Program.  Assist with clerical duties.

 

Job Title: Before & After School Program – Summer Adventures Administrative Assistant

Hourly Wage: $14.00 - $15.75/hour

Reports To: Manager of Before & After School Programs; Before & After School Program Summer Adventures Camp Site Leader(s)

Wage/Hour Status:  Non-Exempt

*Employees are provided with paid sick leave per the District policies.  No other paid leave is available. 

 

Working Days

  • Attend Required Professional Development: Staff Orientation and Training – as scheduled, prior to camp start date
  • Attend site team meetings as scheduled, potentially outside of program hours
  • Employment dates: approximately mid-May through mid-August with opportunity to extend employment into the following school year
  • Monday through Friday on camp days, as scheduled
  • Hours: 6:15 – 10:15 a.m. and/or 2:00 – 6:00 p.m.
  • Individual employee hours will be determined based on program enrollment and may vary week-to-week.  Work hours may/may not match program hours, depending on employee qualifications, availability, and program need. 
  • Employees are scheduled up to 29-40 hours per week

 

Closed on the following holiday(s): per annual calendar

Minimum Qualifications

  • 16 years of age
  • Ability to communicate effectively and build relationships with customers
  • Team player with exceptional human relations skills 
  • Ability to take direction and perform tasks with little supervision
  • Ability to perform multiple duties simultaneously
  • Exemplary organizational skills
  • Ability to be flexible with a willingness to learn
  • Ability to implement program procedures

Desired Qualifications

  • Secretarial/receptionist experience

Essential Functions

  • Administer quality Summer Adventures Camp while adhering to District policy and program procedures.
  • Firm understanding of District and program policy and procedures, and Iowa Department of Health & Human Services minimum standards, to maintain student safety and security, and to respond appropriately to parent inquiries/concerns.
  • Compile and maintain accurate student attendance databases and communication logs.
  • Notify parent(s) of student absence in a timely manner.
  • Assist with student arrival to, and dismissal from the program, including school-day transition.
  • Present a positive image of the program while providing exemplary customer care and following program procedures to safely dismiss students from the program.
  • Ensure employee payroll accuracy and complete necessary documentation for submission.
  • Establish a positive, supportive, and working relationship with the site leader(s) and site staff team.
  • Develop and maintain an effective level of communication with appropriate personnel, including program and central office staff, District administrators, and Manager.  
  • Demonstrate responsible control over assigned program resources.  Ensure materials and supplies are available.
  • Attend work regularly, routinely, and on time.  Find an approved substitute for absences when necessary.
  • Maintain confidentiality of student information and records.
  • Monitor Summer Adventures Camp facility maintenance and cleanliness.
  • Maintain a continuing program of personal professional development, including active participation in required training and meetings to improve program quality and ensure compliance with Iowa Department of Human Services minimum standards.  Actively implement program initiatives and new learning, as required.
  • Have, or be able to obtain, current adult and child CPR and First Aid Certification with AED training within the designated timeline, along with all other required training.
  • Assist with special event programming, field trips, and guest speakers.
  • Some evening and weekend hours may be required on a limited basis. 
  • Other duties as assigned by the Manager or Site Leader(s).

 

Working Environment 

Mental Demands/Physical Demands/Environmental Factors:

The usual and customary methods of performing the position functions require the following physical demands:  significant lifting, carrying, pushing, pulling, climbing, reaching, driving, standing and walking. Working conditions may include extreme temperatures and humidity.  Hazards may include exposure to communicable diseases. This position requires one to maintain emotional control under stress. 

Supervision

Carries out responsibilities in accordance with the organization’s policies and applicable laws.

Performance of this job will be evaluated in accordance with provisions of the Board Policy on Evaluation of Classified

personnel.  These employees are not covered by a collective bargaining agreement.
